The terms that govern your purchase from Runic Flame
These Terms and Conditions (“Terms”) govern your purchase of products from Runic Flame. By placing an order through our website, you agree to be bound by these Terms. Please read them carefully before making a purchase.

1. About Us
Runic Flame is a small business based in Deerness, Orkney, Scotland, specialising in hand-poured soy wax candles and wax melts. When we refer to “we”, “us”, or “our” in these Terms, we mean Runic Flame.

2. Contract Formation
Your order constitutes an offer to purchase our products. A contract between you and Runic Flame is only formed when we accept your order. We will confirm acceptance by:
- Sending you an order confirmation email, and
- Processing your payment successfully
We reserve the right to refuse or cancel any order for reasons including but not limited to: product unavailability, errors in pricing or product information, suspected fraud, or other issues that prevent us from fulfilling your order.
If we need to cancel your order after payment has been taken, we will refund you in full within 5–10 business days.
3. Pricing and Payment
Pricing: All prices displayed on our website are in British Pounds Sterling (GBP) and include VAT at the current UK rate (20%) where applicable. Prices are subject to change without notice, but any price changes will not affect orders that have already been confirmed.
Shipping Costs: Delivery charges are calculated at checkout and will be clearly displayed before you confirm your order. We offer free standard UK delivery on orders over £50.
Payment Methods: We accept payment via debit and credit cards (Visa, Mastercard, American Express) processed securely through SumUp. Your payment details are encrypted and never stored on our servers.
Payment Security: All transactions are protected by 3D Secure authentication where required by your card issuer, ensuring secure payments in compliance with Strong Customer Authentication (SCA) regulations.
4. Delivery Terms
Delivery Options:
- UK Mainland Standard: Royal Mail 2nd Class (3–5 business days) – £3.95
- UK Mainland Express: Royal Mail 1st Class (1–2 business days) – £5.95
- Free Standard Delivery: Available on UK Mainland orders over £50
Processing Time: Orders placed before 2pm (Monday–Friday) are typically dispatched the same day. Orders placed after 2pm or on weekends will be dispatched the next business day.
Delivery Confirmation: You will receive a dispatch notification with tracking information once your order has been shipped.
Risk and Ownership: Ownership of products passes to you upon delivery. Risk of loss or damage passes to you when the products are delivered to your specified address.

5. Your Consumer Rights
As a consumer purchasing from a UK business, you have statutory rights under the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013. These Terms do not affect your statutory rights.
14-Day Cancellation Right: You have the right to cancel your order within 14 days of receiving your products without giving any reason. To exercise this right, you must inform us of your decision to cancel by a clear statement (e.g., by email to hello@runicflame.co.uk).
Conditions for Returns: Products must be unused, unopened, and in their original packaging to be eligible for a refund. You are responsible for the cost of returning the products to us.
Damaged or Faulty Products: If your products arrive damaged or faulty, please contact us within 48 hours with photographic evidence. We will arrange a free replacement or full refund at your choice.

6. Product Information
Product Descriptions: We strive to ensure all product descriptions, images, and specifications are accurate. However, product colours may appear slightly different due to monitor settings, and scent perception can vary between individuals.
Handmade Products: Our candles and wax melts are individually hand-poured, which may result in minor variations between batches. This is a characteristic of artisan products and not a defect.
Natural Soy Wax Characteristics:
Soy wax is a natural product and may exhibit certain characteristics that are not defects:
- Frosting: White crystalline appearance on the wax surface – this is natural and does not affect performance
- Wet spots: Air gaps between the wax and glass – aesthetic only, does not affect burn quality
- Colour fading: Natural fragrance oils may cause slight colour changes over time
Burn Times: Stated burn times are approximate and based on ideal burning conditions. Actual burn time may vary depending on environment, wick maintenance, and burning habits.
7. Candle Safety and Use
You are responsible for using our products safely. Please follow these guidelines:
- Never leave a burning candle unattended
- Keep candles away from draughts, children, and pets
- Place candles on a stable, heat-resistant surface
- Trim the wick to 5mm before each burn
- Do not burn for more than 4 hours at a time
- Discontinue use when 1cm of wax remains
- Keep the wax pool free of debris
Runic Flame is not liable for any damage or injury resulting from improper use or failure to follow safety guidelines.
8. Intellectual Property
All content on this website, including but not limited to text, images, graphics, logos, product names, and designs, is the property of Runic Flame or our licensors and is protected by copyright and other intellectual property laws.
You may not reproduce, distribute, modify, or use any content from this website without our prior written consent, except for personal, non-commercial use.
9. Limitation of Liability
Nothing in these Terms excludes or limits our liability for:
- Death or personal injury caused by our negligence
- Fraud or fraudulent misrepresentation
- Any liability that cannot be excluded by law
Subject to the above, our total liability to you in connection with any order shall not exceed the amount paid by you for that order.
We are not liable for any indirect, consequential, or special losses, including but not limited to loss of profits, data, or goodwill, arising from your purchase or use of our products.
10. Wholesale Accounts
Trade customers with approved wholesale accounts are subject to additional terms specific to wholesale purchasing. These include:
- Wholesale pricing is exclusive to approved trade accounts
- Minimum order values may apply
- Products purchased at wholesale prices are for resale only
- We reserve the right to terminate wholesale accounts at our discretion
Wholesale customers acknowledge that they are acting in the course of business and therefore consumer rights legislation may not apply.
11. Changes to These Terms
We may update these Terms from time to time. Any changes will be posted on this page with an updated revision date. Changes will not apply to orders placed before the change was published.
By continuing to use our website after changes are posted, you accept the revised Terms.
12. Governing Law and Jurisdiction
These Terms and any disputes arising from them shall be governed by and construed in accordance with the laws of Scotland and the United Kingdom.
Any disputes relating to these Terms or your purchase will be subject to the exclusive jurisdiction of the courts of Scotland, unless you are a consumer, in which case you may bring proceedings in either Scottish courts or the courts of your country of residence.
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.
